All Styles Gym app, privacy policy

This policy covers the All Styles Gym app. It is written to be read, not to protect us, so it says plainly what the app collects, why, and what you can do about it.

The app is run by Ashton Johnston Pty Ltd (ABN 82 685 660 744), trading as All Styles Gym, 17 Mining Street, Bundamba QLD 4304. In this policy “we” means that company and “the app” means the All Styles Gym app.

We handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What the app collects

Your account. Your name, email address and mobile number. You sign in with the email your membership is under.

Your membership. Your membership status, plan, home gym and the date you joined. This comes from Clubfit, the membership system the gyms already use. The app reads it so your member card is right. The app does not change it.

What you book. The classes you book a spot in, and any events you say you are going to.

What you set yourself. Your weekly training target, and your progress against it.

Runs, if you use the run tracker. While a run is recording, the app reads your phone’s location to work out your route, distance and pace. It records only while a run is running, from the moment you press start until you press finish. It does not track you at any other time, and it never asks for permission to use your location in the background. Recording pauses if the phone is locked, so keep the screen open while you run. Finish the run and the recording stops. Saved runs, including the route, are kept in your account until you delete them.

Food diary, if you use it. Stays on your phone. What you enter is never sent to us and is not kept in your account.

Nothing in the background. The app has no analytics and sends no crash reports. If it fails, tell the front desk.

The app does not collect your contacts, your photos, your microphone, your health records, or anything from other apps on your phone.

Children and young people

Under 13. A child under 13 has no account of their own. A parent or guardian holds the account and adds the child to it. All the app holds about that child is their first name and the singlet they are on. No date of birth, no photo, no contact details, no location and no health information. Adding a child is how the parent gives consent, and we record that consent when they do. A parent can remove a child from the app at any time, which erases them.

13 to 17. A member of 13 or over can have their own account. What that account can do is deliberately limited. A member under 18 cannot record their weight, height or heart rate, cannot keep a food diary, cannot buy anything, cannot have a profile picture, cannot receive push notifications, and cannot publish a running route for other members to see. They can record a run privately, book classes, see the timetable and see their own grading. So an under-18 account holds a name, a grade and which classes they booked, and nothing we would call sensitive.

Under 13 cannot sign up. The app refuses to create an account for anyone younger and points them at a parent.

Why we collect it

  • To show you the right timetable, bookings and member card
  • To let coaches see who is booked into a class
  • To keep your own training records for you
  • To tell you about gradings, interclubs and events at your gym
  • To fix the app when it breaks

We do not use any of it for advertising, and we do not sell it. Ever.

Where it is kept

In a database hosted by Supabase in Sydney, Australia. Access is refused by default and every table is locked down so a member can read only their own rows. Coaches see class bookings for their own gym. Nobody outside the business has access.

App updates are delivered through Expo, which sees only that a phone asked for an update, never your account or your data.

Who else sees it

  • Clubfit, the gyms’ membership system, which is where your membership details come from in the first place
  • Supabase, who host the database in Sydney
  • Expo, who deliver app updates. Expo is in the United States, so the fact that your phone asked for an update is handled overseas. No account details and no personal information go to them.

Nobody else. We do not share your information with advertisers, data brokers or other gyms. We will disclose information if the law requires it, and we will tell you if that happens unless we are forbidden to.

What other members can see

Almost nothing. Coaches see who is booked into their own classes. Other members see nothing about you at all, with one exception you control.

Shared running routes. After you record a run you can choose to publish it as a community track. If you do, other members of the gym can see the route on a map, the name you gave it, and your first name. Your runs are private unless you publish them, one at a time, and you can unshare one whenever you like. Members under 18 cannot publish a route at all.

A published route is a map of where you actually ran, which for most people starts at home. Think about that before you share one.

If another member publishes something you think is inappropriate, open the track and tap Report this track. A coach will look at it, and if a few people report the same track it comes down straight away. You can also tap Hide this member and you will not see their tracks again.

How long we keep it

While you have an account, and for as long as you are a member. If you delete your account, your personal data is deleted with it, apart from anything we have to keep for tax or legal reasons, which is kept only for as long as the law requires.

Deleting your account

You can delete your account from inside the app: More, then Delete my account. It removes your bookings, runs, food diary and training records, and your login stops working. It cannot be undone.

Deleting the app account does not cancel your gym membership or your payments. Those are separate and handled by the front desk. Speak to us if you want to end your membership.

Seeing or correcting your information

Most of it is visible in the app. If you want a copy of everything we hold, or you think something is wrong, email admin@allstylesgym.com.au and we will sort it out within 30 days.

Security

Data is encrypted in transit and at rest. Sign-in is handled by Supabase Auth, which means we never see or store your password. Staff access is limited to the role a person actually holds.

No system is perfect. If something happens that puts your information at risk, we will tell you and the Office of the Australian Information Commissioner, as the law requires.

Changes to this policy

If we change it, the date at the top changes and the new version appears here. If the change is significant, the app will tell you.

If you are not happy with how we have handled your information, tell us first and we will try to fix it. If you are still not happy, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
